DIRECTOR OF CHILDREN’S MINISTRY

REPORT CONGREGATIONAL MEETING JANUARY 2012

Southminster’s mission for our Children’s Ministry programs is to provide an environment for children in which we encourage learning Bible stories and understanding their meaning, learning how to pray individually, and learning the importance of following the message of Matthew 25: 31. Children’s Ministry at Southminster includes the following areas: Adult and children’s Sunday school, children’s church, young parent’s quarterly dinner and discussion.

Sunday school: During 2011, our curriculum for elementary classes was published by David C. Cook. During the year, teachers reviewed several published curriculum and selected Cook materials over others. The junior/senior high is using a Study Bible as a source and bases its lessons on the scripture verses being read during the worship service that day. Both of these classes continue to see a gradual drop in attendance due to the demographic changes in our congregation and to life style changes characteristic of the 21 century family. For exact attendance see the Sunday School Superintendant report. At the direction of Elder Dennis Pitts and Pastor Glover, a second adult Sunday school class was added toward the end of the calendar year 2011.

Children’s church: Our children’s church, for children ages kindergarten through 5th grade, has completed its first year with an average attendance of 5/6. During children’s church, we study the Bible, explore its meaning for our lives and encourage individual reading and prayer and involve the children in various mission projects throughout the year. Curriculum used has been Sunday School Teacher’s network and David C. Cook.

Young parent’s quarterly dinner and discussion: These community outreach events were held in February, May, and September of 2011 and are advertised in the Informer as well as our website and with flyers throughout the community. Discussion topics of interest to young parents are selected. I believe the average attendance is between 20 and 30 including our congregation and persons from the community. The Christian Education committee prepares the meal followed by a guest speaker on the topic of the evening.

Other activities of the CM Director are; serve as liaison to LHLP, attending weekly meetings with the directors and attend monthly board meetings, oversee Life Line screening event, assist Pastor Greg in ordering curriculum for confirmation class held in spring of 2011 (4 communicants) and assist in assigning groups for the small group study on the Beatitudes, Spring 2011. Also, recruit weekly volunteers for children’s story and recruit young persons as Gospel readers on Communion Sunday.

Instrumental Music
End of Year Report for 2011

As before, I have accompanied the choir, special music requests, and provided service music this year as usual. I make myself available for choral music tutoring, review, and special rehearsals when needed.

The Good Friday Community Service was hosted by Maple Hill United Methodist this year and I assisted in the music planning of that service along with recruiting and rehearsing a community choir. Mary Collins and I worked together on the instrumental music for that service. Southminster hosted the Thanksgiving community service this year and I was privileged to be able to organize a community choir for that also. Kelly Gran (Franklin Central Christian) accompanied the choir for that service.

Chimes were not utilized this year.

About mid-year, I was instructed to play the sermon hymn on the organ each Sunday that it was appropriate (i.e. praise hymns are better on piano).

I continue to practice the organ and work out appropriate services pieces. I purchased three new piano worship music books to be able to provide interesting solos where needed. I took flute lessons so I could be able to tutor any interested players and to be able to recruit and play with other instruments when possible.

Both organ and piano worked well in 2011 and did not need any special service.

Loving Hearts Learning Place Board

Annual Report, December, 2011

The Board of LHLP is given the responsibility of the oversight of LHLP. The members of the Board are appointed by the session. Our mission is to partner with families to help children know, love, and serve Jesus. The Board joins with the staff of LHLP to implement their goal to provide safe and loving care for young children and to share God's love with families in our community.

The board consists of the following members who will serve three year terms (renewable).

Kathy Walter-Chair serving through 2012
Claire Coons-serving through 2013
Gayle Burton-serving through 2013
Dennis Pitts-serving through 2014
Ethel Pfendler-serving through 2014
Gary Straber-serving through 2012
Janet Ingle-ex officio member as Director of Children Ministry
The directors of LHLP

The board met in 2011 on February 9, May 4, August 15, and November 17. We have continued to encourage the congregation to provide donations and to volunteer or visit LHLP. The following activities continued the connection between the congregation of Southminster and the LHLP families, staff, and children:
Special Sundays for LHLP were designated on April 3 and August 15th. The children and their families were invited to worship with us and the children sang in the worship hour. Children's books on relevant topics were given to LHLP families of 4 and 5 year old children and they were invited to a meal and discussion on the topic along with our church families with young children.
We have assigned shepherds from the congregation to visit each class.
The board (with donations from our church family) provided a staff appreciation lunch in May and a Christmas lunch in December.

The goals of the board for the coming year are to continue to provide support and encouragement to LHLP, to act as a resource and link between the church and LHLP, and to continue to assist with policy decisions concerning the operation of LHLP.

We are grateful for the leadership of the LHLP Directors and the excellent and loving care provided by the staff.

LOVING HEARTS LEARNING PLACE

Co-Directors' Report

We begin 2012 with 76 children enrolled. Forty three are full-time and thirty three are part-time. We also have three infants registered to begin child care later in the year. All of our class rooms are currently full with the exception of our infant room.

In the summer of 2011 we opened a Summer Day Camp for children in kindergarten through 5th grade. We had seven children enrolled in camp and hope to double that number in 2012.

We had a few changes in staff in the past year. Sarah Maple retired from the Co-Director position in July and our Assistant Director Charlotte Chappell stepped into the position as Co-Director with Starla Hilgert. We are fortunate to have Sarah Maple continuing as part-time office staff. With 24 employees we have 5 staff members taking courses in early childhood education; three are working toward their associate degrees and two toward their Child Development Associate certificate (CDA).

This year we have four children who have been placed in our preschool program by Southside Special Services of Marion County (SSSMC, formerly RISE Special Services), as a part of their community placement. These children receive support and therapy from SSSMC staff, while benefiting from the preschool experience with their peers in our program.

Pastor Greg continues to share God’s love in stories, faith lessons and songs with our three oldest classes in their weekly chapel time. We also enjoyed two “Loving Hearts Sundays” again this year, inviting our families to join in worship with the Southminster Presbyterian families.

We had our 2nd Annual Rummage Sale fundraiser in the spring and are planning for the 3rd in the spring of 2012. Other fundraisers included a “take-over” of Uno’s Restaurant and an Usborne book fair. Some of the fundraiser proceeds were added with a generous donation from a church family to purchase a shade structure for our toddler playground.

This year’s Christmas outreach project was collecting food items to donate to “God’s Bounty” food pantry. It was a great success and we will continue to accept donations for the pantry throughout the year.

We appreciate the continued support from the Loving Hearts board, the personal touches from the classroom shepherds and the prayers and on-going support of the entire church family.

Charlotte Chappell and Starla Hilgert
Loving Hearts Co-Directors

Missions Committee

Annual Report, December 31, 2011

The Missions Committee (M.C.) submits this annual report as required by the Session. The M.C. is a vital part in helping Southminster Presbyterian Church (SPC) accomplish SPC's mission statement. Through the "hands on" commitments to our missions, we can be living witnesses for Jesus Christ and make disciples near and far. By providing funds to missions, we serve people in need and possibly make disciples both near and far. The missions of SPC provide many opportunities for the congregation to satisfy our mission statement.

The M.C. has three children through the "Kids Alive" program. Cards are sent to George in Lebanon, Khoury in Kenya, and Cynthia in New Guinea for their birthdays and holidays. A small monetary gift is sent with the cards. Periodically we receive cards, pictures and craft items from the children.

Our monthly food pantry collection has seen increased participation since the emergence of God’s Bounty Food Pantry. We hope that this participation continues. All food collections in 2012 will benefit God’s Bounty Food Pantry.

The M. C. and congregation have supported Loving Hearts Learning Place (LHLP) with scholarship donations, the rummage sale, needed supplies, and cooperation with a combined LHLP and SPC Vacation Bible School.

The congregation helped with the Fast Track program again in 2011. This is an excellent opportunity for hands on participation in the Franklin Township Community.

Our main new focus in 2011 was taking partial ownership by hands on participation for the newly organized God’s Bounty Food Pantry. The food pantry is located on Southeastern Ave. in the old New Bethel Baptist Church Manse. Janice Rockey is the director. Workdays have been attended by at least 38 of SPC’s congregation. The pantry serves Franklin Township and some surrounding areas. 8 churches in our area support God’s Bounty Food Pantry. It is open on Thursdays from 1 p. m. to 7 p. m. In 2011 the pantry averaged serving 150 families per month. It is estimated that 450 people have been served since God’s Bounty Food Pantry has opened. There have been 5-10 new families per week. Volunteers on Wednesday mornings take in donations and stock shelves. Volunteers come Thursday mornings to unload the truck before going to Gleaners and unload its donations upon return to the pantry, then set up for the afternoon. There have been about 15-20 people who volunteer throughout the day on Thursday during the pantry’s open hours, some of whom are high school students from F. C., Lutheran, and Nativity who work after school for service project credit. There are many opportunities for SPC’s congregation to serve God’s Bounty: by prayer, by donating non-perishable food, and/or volunteering at the pantry. Please contact Janice Rockey for more information. The M.C. and the congregation have also agreed to support Chris Coons with his mission work through Campus Outreach. Chris is currently very productive in his work at the University of Southern Indiana. Look for updates from Chris on the SPC website.

The M.C. has listened to a presentation from Dee Dee Gowan on her work & hope to give support to her mission with the Neighborhood Christian Legal Clinic in 2012. The M.C. also plans to speak with Lee and Jennifer Bigelow on their future mission to Belize with Missions to the World (mtw.org).

The M.C. plans to meet at least quarterly through 2012. Current committee member are:
Bill Clark - 12 years’ service
Pamela Sapoff - 12 years’ service
Debbie Reeder - 9 years’ service
Ethel Pfendler - 7 years’ service
Chris Myers - 7 years’ service
Claire Coons - 5 years’ service
Scott Kennedy - 5 years’ service
Angel Hughey – 2 1/2 years’ service

Our 2-5 year plans will continue to focus on reaching our ideal goal of 90% of the congregation's hands on participation in missions with particular emphasis on youth. We also would like to see 1% of our congregation participate in an annual mission trip. Our congregation is most generous with giving money, which is greatly appreciated. Our congregation's willingness to give their time to missions has improved with the opening of God’s Bounty Food Pantry. Please pray for the continued success of serving God’s people in need.

The M.C. asks that you continue to pray for all of the missions supported by SPC including those not included in our budget. Also pray that we may truly have discernment to make good decisions and to support our mission statement.

Music & Worship Committee

As we reflect on 2011, our committee sought the overall opinion of the congregation on what they would like in a worship. We reviewed these responses, and have worked hard to implement the results received.

Some of these were to have music played from the organ more often, response songs between scriptures, and to incorporate additional traditional songs along with our favorite praise songs.

Our Easter and Christmas eve service messages were presented in a cantata format with the help of the wonderful talent of the choir, children, brass, Beth and Kris has blessed us with.

Our goals for 2012 are to assist our pastors as they provide meaningful worship of our Heavenly Father.

Last but not least, a two quotes from 2011 Christmas eve service; "Dad, you lit the wrong advent candle" and our favorite; "EEE-AAWW"

Pastor Greg’s Report

A quick review of 2011 suggests that God is indeed at work in our midst. I continue to be amazed by what God is doing to meet the needs of hundreds of families in our area through the work of God’s Bounty. Was it really only a year ago January and February that we commissioned Janice Rockey as Director and celebrated the opening of the pantry?

Many of us have already found a place to work at God’s Bounty, putting our hands, hearts, voices, minds, arms and legs, to work proclaiming good news. I would be remiss if I didn’t mention especially Tom Jones and Sherry Amlung, who have served Christ above and beyond the ordinary this year by working on the facility and serving on the board. Of course, God’s Bounty is too big for any person or church to do alone, that’s why we call it God’s Bounty and continue to give thanks for the faith-stretching, faith-growing opportunity it presents to us and our brothers and sisters cooperatively among the churches of Franklin Township!

In February we acknowledged the retirement from active service of Roger Walter as Clerk of Session, giving thanks for his gifts to Southminster “with gratitude for more than a decade of exceptional service to Jesus Christ and to this particular congregation and Session. He has truly served with energy, intelligence, imagination, and love.”

We are grateful to Roger for his continued assistance as Julia Luebkeman has taken up the mantle of serving the Session and congregation as Clerk of Session in 2011. (Thank you, Julia!) In many ways 2011 has seemed to be a “year of retirements.” First, we said goodbye to one of the founding co-directors of Loving Hearts Learning Place, Mrs. Sarah Maple, whose vision, expertise and experience, and long hours of hard work made Loving Hearts a resounding success from the first day. She has officially "retired" now for the second time, but we still see her checking up on us every now and again. We are blessed by her continued part-time participation and by the ready willingness of Charlotte Chapel to step into the co-director's position. Together they are making this transition seamless! We are also especially indebted as we begin to say goodbye now to Janet Ingle as Director of Children’s Ministries and Kathy Walter as Chair of the Christian Education Committee. These two have worked long and hard--often together--to make our children’s ministry a wonderful place of Christian love and nurture. Children and families in their care--in Sunday School, at VBS, in Children’s Church, and at Loving Hearts Learning Place--owe a debt of gratitude to Kathy and Janet for their leadership and caring. We do not know yet who will step forward to take on the challenges of leadership for our children and their families, but we know that Janet and Kathy will continue to play a role because they carry always in their hearts the love of Jesus for the least of these. We also bid farewell to Debbie Roska as Administrative Assistant as she leaves for warmer climes and retirement life in Florida. We have been assured that she will write and send pictures and visit often! We are grateful for the work these individuals have done for all of us over many years and wish them well in all of their new endeavors.

This summer saw the routine (can you really call Camp Olivet “routine”?...even after 48 years?) and the not-so-routine. Olivet is another of those ministries that is too big for any one person or even one church to do alone. Many churches use the camp, but even during the two weeks that Southminster takes the lead, campers come from 22 different churches. Of the hundreds of young people who were impacted for Christ by Olivet this year, only 14 campers claimed Southminster as their church. Twice as many came from Indian Creek, and nearly as many from Nativity as from Southminster. And nearly 30 campers listed no church affiliation at all. Olivet continues to be one of those faith-stretching, faith-growing opportunities for ministry to Christ. Increasingly it is also one we must pray for faith partners from many churches to help carry out. Join me in thanking Sean Kelley and the many volunteers who continue to make Olivet possible.

Finally, my report of events in 2011 would be incomplete without a word of welcome to a new (old?) colleague in ministry. Rev. Ron Rockey completed a journey many years in the making when he was ordained as a Teaching Elder, Minister of the Word and Sacrament, and installed as Associate Pastor at Southminster on August 14. We owe a debt of gratitude to our Associate Pastor Nominating Committee and all who served in making this call possible: Gary Straber (chair), Kristin Calvert, Elaine Hulsman, Brian Lock, and Pam Sapoff. We are grateful that God called Ron through many voices to continue his work at Southminster.

There is so much more to say about the caring ministries of deacons and Stephen Ministers, about baptisms, confirmations, and other life events, about Loving Hearts Learning Place, the completion of a new sign, the work of Session, missions, hospitality, music and worship, and the like. I recommend to you the Clerk’s report and the reports of the various other congregational leaders. There is so much more that happens at Southminster in a year than can be captured in words. Of the making of reports there is no end (to paraphrase Scripture), but a new year has already begun and we look forward with expectation, with faith, hope, and love, to our life together as disciples of Jesus Christ, making disciples in 2012.

PERSONNEL COMMITTEE

ANNUAL REPORT 2011

The Personnel Committee was involved in creating job descriptions for all of the Staff as well as the LHLP Co-Directors during 2011. The Committee was involved in creating the documentation required by the Presbytery to allow Ron Rockey to fill the position of Associate Pastor. Since Ron has become the Associate Pastor, the Committee Chairman has been involved in an onboarding process to facilitate effective working relationships between Ron, Pastor Glover, the Staff and the congregation. As 2011 drew to a close, the Committee has been involved in finding replacements for both the part-time Administrative Assistant and the Director of Children’s Ministry.

The Personnel Committee plans to be very active in 2012. We are currently engaged in defining processes and procedures for each function within the church administration, including the volunteer committees. We continue to work towards creating goals for each Staff position so that we can be sure that every position is aligned with the Session’s goals and that the personnel filling the position are successfully working to meet the goals.

Activities for the year:

January we had our annual new years brunch. It was well attended and we ate wonderful food. More importantly we took food collections for God's Bounty which was preparing to open. At the brunch we also organized and dated all of the food that had been collected and was going to be stocked in the pantry.

In April was the retreat at McCormick's Creek. We explored the different countries and cultures in our world and delved deeper into God's word.

May was the women's banquet. This year's topic covered important health issues that women deal with.

June was the men's baseball outing.

November was our Basket Auction.

All of our activities were exceptional events with great attendance.

Thanks to all who helped - you are appreciated! And thanks to everyone for your support.

We are looking forward to our activities in 2012.

We hope you can join us - you will be blessed!
